Virtual Office - Frequently Asked Questions

How long does it take do set up my virtual office account?

We have an online form to complete that takes a few minutes and if you have your ID already scanned and available to upload into your application it can take 5 mins. Obviously outside office hours can take longer. For UK clients we carry out online verification checks. As long as these come back with no problem, we will approve your application. If we are unable to verify your identity we may ask you to provide additional or certified ID.

 

Do I need to provide ID for a virtual office?

 

Yes, we require proof of identity and proof of address. To prove your identity we require a scan of either your passport, driving licence or national ID card. The proof of address is a scan of a utility bill or bank statement, this has to be less than 3 months old and have your name on it Overseas clients will need to get their ID certified or notarised, to confirm the identity and authentication of the documents. 

 

Why do I need to provide ID?

 

All mailbox or virtual office providers are licensed by HMRC, we are required to carry out the proper checks on anyone opening an account with us. This is to prevent money-laundering, terrorist financing and using the proceeds of crime and so we can identify who are using our service. Does your virtual office accept parcels/packages?

 

We only accept parcels at our Sussex address, our London office is just that, an office, so we are unable to receive and store parcels for clients. Our Sussex location has more space and is open longer hours so we can accept deliveries. However, we don't accept pallets or very large parcels.

 

How safe is the information I provide?

 

We are registered with the ICO, all personal information is kept secure online, copies of ID are removed from the online client database and held separately in an encrypted folder

REGISTERED OFFICE ADDRESS FAQ;

What is a registered office address?

The registered office address is the official legal address of a UK limited company, this must be in the UK and be in the same country the company is registered. If you registered your company in Scotland, the registered office address should be in Scotland, and the same rules applies to all other countries that make up the UK.


What can it be used for?

It is used by Government departments, such as Companies House and HMRC to communicate with the company. A company is a legal entity in its own right, so needs an address for correspondence. Companies House and HMRC will send out reminders to file accounts or annual confirmation statements, as well as tax demands etc.


Can I use this address on my website and marketing materials?

The registered office address should legally be displayed on your website, along with your company number. But this is different to the address that you would use for customer and clients correspondence, so tends to be in small print in the footer or found in the terms and conditions. The address you should be displaying to customers etc should be prominent and on a contact us page. this articles explains the difference between registered office and business address service..


What can't the registered office address be used for?

You should not use the registered office address for VAT registration, submitting IPO trademark registrations, or for use by customers, suppliers and banks. Your VAT address should be the address where your company records can be found, should HMRC ever wish to inspect your accounts. Customers, suppliers and banks should be sending mail to your actual business or trading address.


How do you forward the regsitered office mail?

All registered office mail is forwarded to you for FREE by email or uploaded into your online account. The costs of scanning this mail is included in the price, as we roughly know how much mail you should get during an average year. We will forward up to 10 letters per year. If you receive more than this we will ask that you cover the cost of any additional mail - we will contact you and request £5. This will be enough for the next 10 letters.

DIRECTORS SERVICE ADDRESS FAQ;

What is a Directors Service address?

When you incorporate a company for the first time, or add Directors to an aready established company, you will be asked to provide the contact/service address of the directors as well as the Directors usual residential address. These can be the same address.


Why do I need a service address?

The main reason for using a service address provider is to protect the address of the Director from being publically viewed online. Companies House will display the service address on their website and the information will be available for other websites to replicate. The Directors usual residential address is not shown online. 


How much does a directors service address cost?

The cost depends on the location, in Central London it is £15 a year, whereas outside London it is £12.50 a year.


Is the cost per Director?

We do not charge the fee for each Director, you pay an annual fee that covers all your Directors of the company. However this can not be transferred to another company, so if the Director has two limited companies they can not use it for both.


Can I use my own home address for the company Director?

The Director can use their home address as thier service address, but this will be visible on Companies House website and other websites that rely on Companies House data (Company Check, Endole etc.) With issues over privacy and identity theft we would recommend not giving our any personal information online.

What is a business address service?

The business address service provides companies, limited and sole traders, with a contact/trading address, that you can use at suppliers, banks and for customers.


Why do I need a business address?

If like many people, you set up a business from home, or are currently working from home, you do not want to give out your personal home address to customers. Your invoices should have the business address on it, and company stationery such as email signatures and websites should also display your company business address. It gives your customers confidence in your business but if you are selling any goods or services online, the distance selling regulatons require you to provide a contact address.


Who can use a business address?

Any legitimate company, be it limited company, charity, LLP or sole trader, can use a business address, we do however have a number of sectors /industries that we are unable to provide our services for. 


Can I use the Business Address as a registered office address?

No, the business address is for your trading mail, from customers, suppliers and banks - the day to day mail you get from running a business. The registered office address is for Companies House and HMRC mail. A limited company would need to purchase the registered office address seperately.


Will i be informed if i have post?

You can decide how your mail is processed, when signing up you can choose to have your mail posted or scanned. Posted mail can be sent daily, weekly, monthly, first, second or via air mail. Scanned mail can be sent to you via email or uploaded into your online account. For security reasons we would usually shred the mail. You can change between scan and post at any time, no extra charges.


Where can I use this business address?

You can use the address on websites, marketing materials, emails, invoices, business cards etc.


What if i also need to use the address for the registered office
