Many of the companies and individuals that use our virtual address office services, such as the business address, mail forwarding and registered office services are either mobile or not based in the UK. This means that they are not always at their mailing address to pick up their mail regularly or it can takes a week for mail to be delivered half way across the world.
Our solution to this problem is to offer our customers the option of mail scanning.

How does the mail scanning service work?
All mail is scanned the same day it is received at our offices. Mail scans are usually created in the afternoon.
Mail is saved as a pdf in a secure folder which you can access via your customer account dashboard.
When you sign up for our virtual office services, you will create an online account, which will enable you to upload documents, pay invoices and change your profile details. You will be emailed usernames and passwords once your account has been activated.
We are also happy to scan and email the document to you, but please bear in mind attachements on emails are less secure than our online customer dashboards.
If you have applied for our mail forwarding or business address service we can scan into your online folder or if requested we can email it to you. Once you have received your document, you can them inform us by email what you want us to do with your document. We can either post this onto you at your chosen mailing address, archive to send at a later date or shred the mail for recycling. You can always amend this during year, e.g. if you go on holiday for a week, just let us know how you want your mail to be forwarded.
Scanned Registered Office mail will be shredded afterwards - unfortunately we do not scan and then post unless you also have the "All mail" package, business address or mail forwarding service.
The mail scanning service costs 50p per scanned page plus any postage costs if you wish the mail to be forwarded by post.
Choose the mail scan option when you sign up for any of our virtual office services. If you change your mind just let us know, it doesn't matter how many times you change your preferences - there are no additional costs.
If you live local to the Sussex office, you can also choose to collect your mail from our offices, we notify you when mail arrives and you can arrange to collect if you are in the area.
